The best format depends on the next task: sharing a stable page, editing words, reusing data or publishing an image.
Use PDF for a stable reading copy
PDF is designed to keep pages consistent across devices and printers. It is usually the best delivery format for reports, forms, invoices and finalized documents where layout matters more than easy editing.
A PDF can still contain editable forms, attachments or scripts, so the extension alone does not guarantee a simple or safe file. Use trusted sources and an updated reader.
Use images when the page itself is the asset
JPG is practical for photographic pages and small previews. PNG keeps diagrams, interface captures and fine text edges sharper but often creates larger files. Image output removes selectable text and document links.
Exporting pages as images is useful for publishing previews or importing into visual software. It is a poor choice when accessibility, search or exact text reuse is the priority.
Use editable formats with realistic expectations
DOCX is suitable for revising extracted prose, TXT or Markdown for text-first systems, and XLSX for reviewing simple records. Converting from PDF requires reconstructing structure that the PDF may not store explicitly.
Choose based on the work you need to do next, then compare the converted result with the source. For complex layouts, preserve the PDF alongside the editable copy as a visual reference.
